The Dojo — How the Collaboration Runs

One meeting, one thread, one punchlist, one calendar. Built to cut coordination, not add it. The whole crew — Tim, Gabe, Pavan — plus Erik on the show lane.

The Weekly Rhythm

Mon · The Dojo
30-min sync — set the week's one objective, run the punchlist. Library, office, or video call. Then: batch-film the podcast when the studio's booked (3–4 episodes in one sitting).
Tue–Thu · Heads-Down
Everyone in their lane. Gabe edits, Pavan builds, Tim sells + captures + books guests. Updates posted async to the thread — no meetings.
Fri · 5-Min Wrap
Each person posts to the thread: what shipped, what's stuck, what's next. Typed, not a meeting. Feeds Monday's punchlist.
All Week · The Thread
The always-on channel. Check-ins, ideas, guest bookings, asset drops, quick questions. Async by default — protect the heads-down time.

The Hub — Keep It in Google

  • The thread → one Google Chat Space ("The Dojo"). Everyone already has Google; Erik joins without ever touching your CRM.
  • The calendar → one shared Google Calendar ("Dojo"): Monday sync, film days, guest bookings, deadlines. Everyone subscribes.
  • The punchlist → one Google Doc (template below). Reviewed live every Monday. One page — parked work stays parked.
GHL stays for clients, not crew chatter. Pavan builds inside GHL, but team coordination lives in Google — same lane discipline that keeps everything else clean. It also matches your Drive "shared brain."

The Monday Dojo — 30 Minutes, Every Time

  1. Wins since last week 2 min
  2. The ONE objective this week 3 min
  3. Punchlist round — each owner: done / doing / stuck 10 min
  4. Podcast plan — guest, angle, film schedule 8 min
  5. Blockers & asks 5 min
  6. Confirm the week on the calendar 2 min

Five columns, nothing more. If it's not moving this week, it doesn't go on the list — it stays on the parked roadmap. The list should be short enough to read in 60 seconds.

Who Owns What Lane

Tim
Sell · capture · host · book guests · the face
Gabe
Shoot · edit · deliver episode assets (Creative Director)
Pavan
GHL + backend build (90-day spec)
Erik
Studio · co-host · cross-promo — show lane only
The line that keeps it clean: Erik lives on the show lane. Client, money, and pipeline conversations stay in your internal hub (the Master Hub / Drive) — not the shared Dojo space. He gets a room and a co-host chair, not a seat where Ninja-360 gets built.
